We have written these terms and conditions to ensure that we can support our fundraisers in the best possible way, while at the same time raising as much money as possible for the ground-breaking life-saving ethical research that we fund. A ‘charity place’ refers to a place in an event which has been purchased by Animal Free Research UK and is offered out to supporters to take.
Charity Place terms and conditions for the Vitality Big Half
Running and challenge events are an important part of Animal Free Research UK’s fundraising portfolio. We invest in a number of different running and challenge events each year, and as such we need to ensure that our place raises as much money as possible for our ground-breaking ethical medical research. We therefore ask that anyone taking part in an event with an Animal Free Research UK charity place pays an entry donation upon registration and pledges to raise a minimum sponsorship.
When you register to run with an Animal Free Research UK charity place, you can expect the following from us:
- Charity places in the majority of our events are offered on a ‘first come first served’ basis. We have limited numbers of places available in each event, and once these are allocated, we will open a waiting list in case of drop outs.
- If a charity place is available, once you make your registration donation and agree to the fundraising pledge, we will reserve a charity place for you. However, we reserve the right to revoke the place in exceptional circumstances.
- We will send you a fundraising pack which contains lots of information about training and fundraising, along with a technical running vest or cotton t-shirt to wear on race day.
- We will send you regular support emails to help with your training and fundraising, and you’ll have access to one on one support with our Fundraising team.
If you take an Animal Free Research UK charity place, you will agree to the following:
- Entry fee: If you take a charity place with Animal Free Research UK, we ask that you pay an entry fee of £20 to help us cover our costs – this is non-refundable under any circumstances.
- Fundraising pledge: You will pledge to raise a minimum sponsorship amount for Animal Free Research UK of £400 by one month after race day.
- Registration: In order to complete your registration for the event, you will need to register your details with the race organiser before their console deadline. This is a health and safety requirement and will ensure you receive your running number and race day information. We will let you know when the registration console is open, and how long you have to register before the deadline. Failure to register by the deadline will mean you will not be able to take part in the race – this is outside of our control. All charity place runners must also agree to the terms and conditions set out by the race organisers in order to take part.
- Race Number and Event Day pack: For most running and challenge events, the race organiser will send you your race number and final details instructions a few weeks in advance of the event. For queries on this, you should contact the race organiser. It is your responsibility to update the race organisers with any change to your personal details.
- Online fundraising pages: We recommend that you set up an online fundraising page to help you with your fundraising. If you take an Animal Free Research UK charity place, you will agree that 100% of the money raised through your fundraising page will come to Animal Free Research UK and will not be split with any other charity.
- Interim fundraising deadline: If we have not received any fundraising from you by a pre-agreed deadline (usually one month before the console deadline date, but this will be communicated to you via email), we reserve the right to remove your details from the event organisers registration console and offer your place to another runner on our waiting list. This would mean you are not able to take part in the event.
- Existing donations to Animal Free Research UK: Any donations you already make to Animal Free Research UK, or have made in the past, cannot be included towards or within your fundraising total.
- Gift Aid: We cannot include the amount raised through Gift Aid in your fundraising total, as this comes from the Government and cannot be guaranteed. However, please do encourage your sponsors to Gift Aid their donations where possible – this can add an extra 25p for every £1 donated, at no extra cost to them.
- Low fundraisers: Animal Free Research UK may pass on the names of all fundraisers that fail to raise their fundraising pledge before the fundraising deadline to the race organisers, who may keep your details on file. This may impact your chances of taking part in future events.
- Injury: If you are injured or unable to take part in the event, please let us know as soon as possible so we can offer the place to another applicant. Please note we can only offer your place to other applicants if it is before the console deadline date. After this date we are unable to use the charity place to raise much needed funds and will effectively lose money on it. We would therefore very much appreciate it if you could fundraise in another way to reach your £400 minimum sponsorship pledge.
- Deferrals: The Vitality Big Half does not allow deferrals.
- Age: You must be over 18 to fundraise for us.
- Data protection: Only use branded forms given to you to collect personal data e.g. offline sponsorship forms and return them to head office as soon as possible.
- Reputation: You will not do anything that may bring the name of Animal Free Research UK into disrepute or damage our reputation. If you do, we have the right to ask you to stop fundraising.
- Promotional material: You will not distribute or display our promotional or fundraising material during other charities’ events who conduct animal testing or outside their charity shops.
